We are seeking a highly organized and professional Secretary to the Board of Directors (BoD) to support the executive leadership team at our holding company in Central Jakarta. The ideal candidate will play a crucial role in ensuring smooth communication, efficient scheduling, and effective coordination of the Board’s activities. This position requires a proactive individual with excellent communication skills, attention to detail, and the ability to handle confidential information with the utmost discretion.

 

Key Responsibilities

  • Administrative Support: Provide comprehensive administrative support to the Board of Directors, including managing calendars, scheduling meetings, and preparing agendas.
  • Meeting Coordination: Organize and coordinate Board meetings, including the preparation and distribution of meeting materials, taking minutes, and following up on action items.
  • Communication Management: Handle correspondence on behalf of the Board, ensuring timely and accurate communication with internal and external stakeholders.
  • Document Management: Maintain and organize corporate records, legal documents, and Board resolutions, ensuring compliance with regulatory requirements.
  • Travel Arrangements: Arrange travel itineraries, accommodations, and logistics for Board members for both domestic and international trips.
  • Event Planning: Assist in planning and executing corporate events, meetings, and functions attended by the Board.
  • Confidentiality: Manage sensitive and confidential information with the highest level of integrity and discretion.
  • Liaison Role: Act as a point of contact between the Board and other departments, ensuring clear and effective communication across the organization.
  • Project Assistance: Support the Board in various strategic initiatives and projects, providing research, documentation, and coordination as needed.
  • Office Management: Oversee the smooth operation of the executive office, including managing office supplies, equipment, and vendor relationships.

 

Requirements

  • Bachelor’s degree in Business Administration, Management, or a related field is preferred.
  • Minimum of 1 year of experience in an executive assistant or secretary role, preferably within a corporate environment.
  • Excellent verbal and written communication skills in both English and Bahasa Indonesia.
  • Strong organizational and time management skills, with the ability to multitask and prioritize effectively.
  • High level of accuracy and attention to detail in all tasks.
  • Proven ability to handle confidential information with integrity and professionalism.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with virtual meeting platforms.
  • Strong interpersonal skills and the ability to work effectively with senior executives and external stakeholders.
  • Ability to anticipate needs, solve problems proactively, and adapt to changing priorities.
  • Willingness to work beyond regular office hours when necessary.
