Job Description Summary :
Responsible for overseeing the planning, implementation, and tracking of a specific services project which has a beginning, an end and specified deliverables.
Job Description :
Plan the project :
1. Defines the scope of the project in collaboration with senior management.
2. Creates a detailed work plan which identifies and sequences the activities needed to successfully complete the project.
3. Determines the resources (time, money, equipment, etc) required to complete the project.
4. Develops a schedule for project completion that effectively allocates the resources to the activities.
5. Reviews the project schedule with senior management and all other staff that will be affected by the project activities; revises the schedule as required.
6. Determines the objectives and measures upon which the project will be evaluated at its completion.
Staff the project :
1. In consultation with the appropriate managers, recruits, interviews and selects staff with appropriate skills for the project activities.
2. Manages project staffs according to the established policies and practices of the company.
3. Ensures that personnel files are properly maintained and kept confidential.
4. Ensures that all project personnel receive an appropriate orientation to the project organization and the project details.
5. Seek Procurement’s assistance and inputs for the engagement of consultants.
Implement the project :
1. Executes the project according to the project plan.
2. Develops forms and records to document project activities.
3. Sets up filing system to ensure that all project information is appropriately documented and secured.
4. Monitors the project progress and makes adjustments as necessary to ensure the successful completion of the project.
5. Establishes a communication schedule to update stakeholders, including appropriate staff in the organization on the progress of the project.
6. Reviews the quality of work completed with the project team on a regular basis to ensure that it meets the standards required for the project.
Control the project :
1. Writes reports on the project for management and sponsor.
2. Communicates with sponsor as outlined in Project Data Book.
3. Monitors all budgeted project expenditures.
4. Monitors cash flow projections and report actual cash flow and variance to senior management on a regular basis (monthly / bimonthly).
5. Manages all project funds according to established accounting policies and procedures.
6. Ensures that all financial records for the project are up-to-date.
7. Prepares financial reports and supporting documentations for stakeholders as outlined in Project Data Book.
Evaluate the project :
1. Ensures that the project deliverables are achieved on time, within budget and at the required level of quality.
2. Evaluates the outcomes of the project as established during the planning phase.
